Benvo vs Cobalt

Cobalt club software, reviewed alongside Benvo

Cobalt club software is an all-in-one system for private and country clubs in the United States, built by Computer Software & Solutions International (CSSI) of Boca Raton, Florida, and sold by quote only.[1][23] It runs the back office, golf and amenity bookings and a branded member app, with accounting, payroll and HR built in.[8]

This review is for general managers, controllers and boards who know the Cobalt name and want an outside view before or after a demo. It maps Cobalt's three product families, dates its history, sets out what is public about price, gathers the little review evidence that exists and compares Benvo category by category. Benvo wrote this page, and where Cobalt goes further, we say so. It covers Cobalt software at mycobaltsoftware.com, not other products named Cobalt.[31]

The short answer

Cobalt is a golf-first club suite that keeps the ledger, payroll, member payments and a store app with one US vendor, and its price is a quote.[8][10][1] Benvo publishes its prices and suits members clubs, clubs with bedrooms and hospitality groups where dining, events and rooms lead; each club chooses its own card processor, and the ledger and payroll stay in the club's own accounting and payroll software.[51][53]

Choose Cobalt if

  • You run a US golf or country club and want weighted tee time lotteries, a digital starter sheet, bag room screens and GHIN handicaps in one system.[6][9]
  • Your controller wants AP, AR, GL, payroll and HR from the same vendor as the tee sheet.[8][16]
  • You want member payments by ACH or card processed through the software vendor's own Elavon partnership.[10]
  • You want a store app in your club's name with a track record: CSSI publishes per-club apps such as Bel-Air Country Club's.[32]

Choose Benvo if

  • You run a members club, a club with bedrooms or several venues, in the US or elsewhere, and want each venue in its own currency.[65]
  • You want every module price published before a call, with no setup fee.[51][52]
  • Dining on a drawn floor plan, a host stand and event proposals signed online matter more to you than golf depth.[57][58]
  • You want to choose your card processor, KPay, Adyen or Stripe, and keep Xero, QuickBooks Online or NetSuite as your ledger.[53]
  • You want an AI team (Zack, Chloe, Emma and Elia) that drafts and acts with staff approval.[61]

What is Cobalt club software?

Cobalt club software is a cloud club management system from CSSI for US private clubs, mainly golf and country, residential and resort-style clubs. It is sold as three families: Cobalt Engage for the member app, portal and website, Cobalt Gather for reservations and amenities, and Cobalt Core for accounting, POS, payroll and HR.[1][26]

Cobalt describes one technology stack, run in a web browser, with point of sale on tablets.[2][1]

Cobalt vs Benvo: detailed breakdown

Membership and CRM

Cobalt keeps property records beside members, with renewals, property sales and leasing for residential clubs, automated monthly statements and electronic gift certificates. A built-in CRM tracks prospects, and marketing adds email analytics, dynamic groups and geo-fenced push notifications.[11][15]

Benvo keeps member records with tiers and a full lifecycle, and reception scans the member's QR card at the door. Chloe runs renewals with invoices, reminders and lapse after a grace period, requests such as freezes wait for a person, and Insights scores each member from 0 to 100 for churn risk.[54]

Verdict: Close. Cobalt suits residential clubs that track property; Benvo adds health scores and renewals handled by Chloe.

Golf, courts and facilities

Cobalt also runs court lotteries, skill-based games and pickleball clinics, and a spa, salon and fitness module with therapist schedules, commissions through retail POS and prices by membership tier.[18][7]

Benvo Facilities has a golf tee sheet and a standing times lottery. Courts use fair booking rules, open matches by level, ladders and leagues; treatments are matched to a room and a therapist; classes have rosters, packs and waitlists. Benvo has no GHIN, Golf Genius or Tag Marshal link and does not run tournaments.[56][63]

Verdict: Cobalt for golf. A golf-first club will find more in Cobalt; Benvo gives courts, treatments and classes equal weight.

Dining, events and banquets

Cobalt takes dining reservations with an optional dining lottery and editable floor plans, and shows preferences and allergies to servers. Its banquets module adds a BEO builder, recurring events, deposit tracking, POS charges to events and revenue dashboards by event type.[9][14][12]

Benvo imports the floor plan from an architect's DXF, PDF or image file up to 25 MB, and the host stand seats walk-ins with a suggested table. Events have a waitlist with 24 hour offers, online ticket sales and a door scanner. Proposals carry versions, an online signature, a deposit schedule paid online and a function sheet.[57][58][53]

Verdict: Benvo for dining-led clubs. Cobalt's dining lottery suits clubs with more demand than tables; Benvo adds a host stand, a door scanner and proposals signed and paid online.

Overnight rooms and hotel-style operations

Cobalt's overnight rooms module handles room combinations, live housekeeping status, folio billing and a night audit, and reports ADR, RevPAR and length of stay.[13]

Benvo runs a room rack with member rates and group blocks, a front desk with ID registration and split bills, a housekeeping board with inspections, and a night audit with a city ledger. Dinner can be charged to the room, rooms sell through Benvo's own booking engine, and the channel manager connects to Booking.com, Expedia and Agoda.[59]

Verdict: Benvo for clubs with a hotel side. For a few cottages Cobalt keeps rooms on the member bill; for a hotel wing with its own front desk and online channels, Benvo goes deeper.

Payments, accounting and payroll

Benvo has no general ledger of its own. It posts POS daily sales, hotel end of day and loyalty liability to Xero as journals, syncs with QuickBooks Online and NetSuite, and exports approved hours, tips and commissions as a file for your payroll provider.[53]

Each club chooses KPay, Adyen or Stripe for online and in-person card payments, and Benvo shows the pros and cons of each; a paid custom option connects any provider with a compatible API. Members pay statements and invoices by card in the app or from a pay link, and card fees are charged by the club's own processor, with nothing added by Benvo.[53]

Verdict: Cobalt. One vendor for ledger, payroll and member payments is Cobalt; Benvo lets the club pick its processor and keep its own accounting software.

Member app and AI

Cobalt Engage, on iOS and Android with a matching portal, books dining, events, tee times, the golf lottery, courts, fitness and spa, shows and settles statements and holds a directory, guest cards and e-signature. Its AI Concierge books tables, orders food through the POS and calls for a golf bag or the car from valet.[5][4]

Benvo's members app runs on iOS and Android and also installs from the browser. Members carry a card in Apple or Google Wallet once the club adds its wallet credentials, book tables, events and facilities, view and pay statements and chat with Chloe and the team.[55] Chloe handles requests, renewals and bookings, Zack briefs managers, Emma answers enquiries and Elia plans offers, each within the approval level the club sets.[61]

Verdict: Cobalt for golf in the app, Benvo for an AI team. Cobalt's app does more for golf; Benvo's agents work across members, enquiries and marketing.

Reporting

Cobalt offers customisable analytics on usage, spend, membership, retail and reservations, natural-language reporting since June 2023 and banquet dashboards.[8][26][12] Benvo's report builder takes up to four measures and two breakdowns, schedules reports and answers questions in plain words; group reports show totals per currency, and Zack writes the Home brief and a weekly owner digest.[62]

Verdict: Close; Benvo for groups. Both answer questions in plain words; Benvo adds reporting across venues in different currencies.

Integrations

Cobalt names six links: Golf Genius, Tag Marshal, USGA GHIN, Zoom, Elavon and Apple Wallet. It says it does not rely on third-party integrations for core functions such as accounting or CRM, and we found no public API or accounting sync.[6][9][11]

Benvo connects to Xero, QuickBooks Online and NetSuite, to KPay, Adyen or Stripe for card payments and to Apple and Google Wallet for cards, and takes sales from another till through a POS webhook. It has no public API and no app marketplace.[63][53]

Verdict: Benvo for your own ledger. Cobalt prefers its own modules; Benvo syncs to the accounting software you keep.

Security and data

Cobalt's 2022 launch release cites a "dual-encrypted database" (a vendor claim), its privacy policy puts hosting in the United States, and we found no named security certification on its public pages.[23][17]

Benvo isolates each account with forced row level security, can require two-factor sign-in for the whole team, limits sessions to five devices and keeps an audit log and change history. Support access is granted by the club, time limited and recorded.[64]

Verdict: Ask both. Ask each vendor for its security questionnaire.

Onboarding and support

Cobalt describes 24/7 support from a US-based team, business analysts who run implementation and training, hands-on training for spa staff, and banquet tools that upload menus, documents and future events.[2][19][7][12] Benvo works to a 14 day switch plan, charges no setup fee, and takes support tickets from inside the product.[52][66]

Verdict: Cobalt for round-the-clock support. Cobalt states 24/7 US support; Benvo states a fixed switch plan and no setup fee.[2][52]

How much does Cobalt cost?

Cobalt does not publish prices: as of November 2026 its site has no pricing page, every product page leads to a demo request, and we found no published contract terms, implementation fees or processing rates.[1]

Cobalt's golf page says clubs save by paying fewer vendors and through its integrated card processing, without figures.[6] Third-party price pages on G2 and Capterra were blocked to us, so this page prints no estimate.

What users say about Cobalt

Little independent review evidence is public. G2, Capterra, GetApp and Trustpilot blocked our requests, so we cannot report what reviewers praise or criticise there. The app stores give the only public ratings, and the samples are small.[32][33]

Most clubs appear to publish their own branded app, and most of those carry between 0 and 9 ratings, too few to show a pattern.[32] Cobalt's own figure for the member app is "tens of thousands" of downloads and over a million reservations a year, a vendor claim we cannot check.[5]

Cobalt has won BoardRoom magazine's Excellence in Achievement award three years running, as reported by Cobalt: best new technology product (2023), marketing and communications (2024) and club events technology (2025).[28][29][30] These are industry awards, not user reviews. The growth figures of 144% more clients and 40% more staff in 2024, with support staff doubled, are also Cobalt's own.[27]

Switching from Cobalt to Benvo

Benvo's 14 day switch plan moves a club across in a fixed sequence, with no setup fee. The 14 days is a plan, not a guarantee.[52]

  1. Day 1

    Kickoff

One call with your switch lead: the tools you run, the dates that matter and who signs off.

  2. Days 2 to 3

    Export

We request the exports from your current providers with you. Nothing for your team to format.

From Cobalt: Request member, booking and menu exports from Cobalt as CSV or XLSX. There is no Cobalt preset, so columns are mapped during the switch.[52]

  3. Days 4 to 6

    Imports

Guests, members, bookings history, menus and bottles imported, duplicates matched, every count checked with you.

From Cobalt: Up to 10,000 rows a file for guests, members, past bookings, menus, products and bottles; duplicates are matched and rejected rows come back to you. Conversation and invoice history do not import; keep your Cobalt export.[52]

  4. Days 7 to 8

    Channels

Your WhatsApp number, email domain, booking links and POS connected to the new system.

From Cobalt: Connect the card processor you choose, KPay, Adyen or Stripe, and your accounting software, so members pay statements online from day one.[53]

  5. Days 9 to 10

    Staff and training

Everyone signs in with two-factor, and each team rehearses a real service with their lead.

  6. Days 11 to 13

    Parallel run

Benvo runs beside your old system on real service. Anything you flag is fixed before go live.

From Cobalt: Ledger and payroll history stay in your Cobalt exports or your accounting system; Benvo has no general ledger or pay runs.[53]

  7. Day 14

    Go live

The old system is switched off, members are invited to the app in one click and your lead stays on.

Leaving mid-contract? Benvo can credit up to 3 months of your remaining contract as switch credit, on a 12 month term, repaid if the plan ends early.[52]

Tips for clubs running golf, dining and rooms on one system

Cobalt club software: questions answered

Does Cobalt have a member app?

Yes. Cobalt Engage runs on iOS and Android with a matching member portal, branded to each club. Members book dining, tee times, the golf lottery, courts and spa, pay statements and save a member ID to Apple Wallet. CSSI publishes per-club apps under club names, plus a generic CobaltENGAGE app.[5][11][32]

Does Cobalt handle accounting and payroll?

Yes. Cobalt Core includes accounts payable with cheque runs and 1099 prints, accounts receivable with statements and delinquency letters, and a general ledger with budgets against actuals. It also runs payroll with tax tables, timecards and direct deposit, plus HR and recruiting. Benvo runs neither: it syncs to Xero, QuickBooks Online and NetSuite and exports payroll hours.[16][8][53]

Which payment processor does Cobalt use?

Elavon. Cobalt describes itself as an Elavon Payments Partner and a registered partner/ISO of Elavon, Inc., and members pay statements by ACH or card in the app and the portal. Cobalt does not publish its processing rates, so ask for the card and ACH rates in writing as part of the quote.[10][1]

Does Cobalt integrate with other systems?

Cobalt names a short list: Golf Genius for tournament sign-up, Tag Marshal for pace of play, USGA GHIN handicaps, Zoom for virtual events, Elavon for payments and Apple Wallet for the member ID. It says it does not rely on third-party integrations for core functions such as accounting or CRM, and we found no public API or accounting sync.[6][9][10][11]

Is Cobalt only for golf clubs?

No, though golf is where it goes deepest. Cobalt describes its clients as mainly golf and country, residential and resort-style clubs, and markets to racquet and social clubs as well. Its pages cover courts and pickleball clinics, dining, spa, salon and fitness, banquets and overnight rooms. CSSI's per-club apps include Carbon Members Club and Grand Holland Social Club.[26][1][18][32]

Does Benvo have a golf tee sheet?

Yes. Benvo Facilities has a golf tee sheet and a standing times lottery, alongside courts with fair booking rules, open matches by level, ladders and leagues. It has no link to GHIN handicaps, Golf Genius or Tag Marshal and does not run tournaments, so a golf-first club would keep a dedicated tool for those.[56][63]

Can Cobalt be used outside the United States?

Cobalt does not say. Every named client and press release we found is a US club, its privacy policy puts hosting and servers in the United States, and the CobaltENGAGE app lists English and French. Its accounting includes US forms such as the 1099. Clubs outside the US should ask about currency, local tax and support hours first.[23][17][31][16]

What is the best software for managing a golf club?

It depends on the club. A private golf and country club that wants the ledger and payroll in its club system can look at Cobalt, Jonas Club, Northstar or Clubessential. A semi-private or public course can look at Club Caddie. A club where dining, events and rooms earn as much as golf can consider Benvo. Our club management software guide compares them.[8][40][35][42][48]

Can we move our data from Cobalt to Benvo?

Yes, through files. Benvo imports CSV or XLSX files of up to 10,000 rows each for guests, members, past bookings, menus, products and bottles, with duplicate matching. There is no Cobalt preset, so columns are mapped during the switch. Conversation and invoice history do not import, and Benvo has no general ledger, so accounting history stays in your exports or accounting system.[52][53]
