Buyer's guide, November 2026

Club management software: a buyer's guide for private clubs

Club management software is the system a club runs on: member records and dues, bookings for golf, courts and dining, events, the point of sale, the member app and the reports that tie them together. This guide is for general managers, membership directors and committees at private, country, city, yacht and members clubs who are choosing a first system or replacing one that no longer fits.

You will find a plain definition, a dated comparison of the main platforms with who each one suits, which vendors publish prices, member app ratings with their sample sizes, and a checklist for demos. Benvo wrote this page and is one of the options, so we say where the long-standing suites go further than we do, above all on accounting, payroll, golf depth and years in the market.

The short answer

No platform wins for every club. Golf-led clubs that want accounting and payroll in one system are best served by the long-standing suites, Clubspot publishes its card and platform fees, and Benvo suits members clubs where dining, events and rooms lead.[14][28][42][92]

Choose a full club suite (Northstar, Jonas Club, Clubessential, Cobalt) if

  • Golf sits at the centre and you need a tee sheet with lotteries, starters and tournament links.[13][30]
  • You want the general ledger and receivables inside the club system.[8][28][21]
  • You want payroll from the same vendor, as Jonas Club and Cobalt build it in.[14][28]
  • You value a large installed base and decades in the market, and accept pricing by quote.[11][19][3]

Choose Clubspot if

  • You want card, bank and platform fees published before the first call, with no setup fee.[42]
  • You run a yacht, sailing or racquet club with regattas, marina slips, camps or courts.[40][46]
  • You want native accounting that syncs journals to QuickBooks Online or NetSuite.[44]

Consider Benvo if

  • Dining, events and rooms matter as much as golf, and you want them on one member record.[94][97][99]
  • You want published module prices per venue and no setup fee.[92][93]
  • You want to choose KPay, Adyen or Stripe for cards, with fees charged by your processor and nothing added by Benvo.[101]
  • You want an AI team, Zack, Chloe, Emma and Elia, that prepares renewals and replies for staff to approve.[103]

What is club management software?

Club management software is one system that runs a club's membership, dues billing, bookings for golf, courts and dining, events, point of sale and member app, with every charge on the member's record. Country and golf clubs need a deep tee sheet; city and members clubs lean on dining, events and rooms.

Members and CRM

Records, tiers, families, applications and the waiting list.

Dues and billing

Dues, renewals, minimum spend and statements.

Bookings

Tee times, courts, classes, tables and treatment rooms.

Events and functions

Member events, proposals and banquet event orders.

Point of sale

Restaurant, bar and pro shop tills that charge to the member account.

Member app

Bookings, statements, the club card and news.

Reports

Usage, spend, renewals and finance for the committee.

Integrations

Accounting, payments, handicaps, door access and the website.

Five types of club software

  • Full club suites: Northstar, Jonas Club Software, Clubessential, Cobalt and Clubspot, what most buyers mean by private club management software.[1][10][21][25][40]
  • Golf course systems: Club Caddie, foreUP, Golfmanager and Eagle Club Systems.[63][66][70][73]
  • Athletic and racquet platforms: Club Automation, CourtReserve and, in the UK, ClubRight.[48][58][88]
  • Membership and association tools: Wild Apricot, Join It, Raklet, membermojo, SportMember, ClubSoft, Admidio and Group.app.[75][77][79][82][84][86][89][91]
  • Hospitality-led club platforms: Peoplevine is a member CRM over a venue's existing POS and property system; Benvo runs dining, events, rooms and the till itself, as on our members club software page.[52][94]

Club management system vs membership software

Membership software manages who belongs: records, dues, renewals, cards and email. A club management system also runs what members use, such as the tee sheet, the dining room, the courts and the till, and posts every charge to one account. If your club has no kitchen, courses or rooms, membership software is often enough. Our page on membership management software covers that side on its own.

    Watch out for
Custom quotes by module, with cancel-any-time terms and no lock-ins.[72]

Lighter and free tools for small clubs and associations

In the UK, "club management software" mostly means tools for amateur sports clubs and societies, and volunteer-run clubs elsewhere need the same thing. These tools handle the membership side and cost little. None describes a golf tee sheet, a restaurant till or dining reservations on its public pages.

  • membermojo's free plan may be closed after 6 months of inactivity and must be renewed each year.[81]

How much does club management software cost?

As of November 2026, club management software runs from free membership tools to suites sold only by quote. CourtReserve publishes US$199 to US$549 a month, Peoplevine US$750 a month plus setup from US$7,200, and Benvo's Club bundle is US$1,330 a month. Northstar, Jonas Club Software, Clubessential and Cobalt publish no prices.[61][54][92][3][10][21][25]

The members club takes Membership, Payments, Reservations, Events, Mobile app, Reception and Insights: US$1,043 a month less 15%, so US$886.55. The country club adds two Facilities modules, Spa and wellness and Courts and sports, at US$129 each: US$1,301 less 20%, so US$1,040.80. Neither includes the POS (US$379, plus Menus at US$69). Benvo bills in US dollars; members keep paying in your currency.[92]

What drives the price of a club system

  • Modules. Suites price by module.[3][65]
  • Members, contacts or courts. Tools charge by head count or by courts.[74][61]
  • Locations. Several clubhouses or venues usually change the quote.[65][49]
  • Payments. Transaction and platform fees can cost more than the subscription.[42][76]
  • Setup and migration. Some vendors charge for setup, others include it.[54][42][85]
  • Hardware. Terminals and kitchen screens are often quoted separately.[65][88]
  • Contract length. Twelve-month and multi-year terms are common; month to month exists too.[49][87][56]

What software do country clubs use?

Most private country clubs in North America run one of a handful of suites. As of November 2026, Jonas Club Software reports more than 2,300 clubs, Clubessential more than 1,300 private clubs and Northstar more than 1,000 clubs and communities. Cobalt has served private clubs since 2016, and Clubspot says hundreds of clubs have switched to it.[11][18][5][26][41]

A few groups own several brands: Constellation Software owns Jonas Club Software and Club Caddie, and Xplor holds Clubessential and foreUP.[11][64][69] Northstar lists nine acquisitions, from Chelsea Reservations in October 2018 to Senpos in December 2024, including MiClub and TopYacht.[4] For golf and country clubs, see our country club management software page.

The best software for managing a golf club

For a members golf club, the tee sheet decides more than any other module. The suites go deepest on lotteries, starters and handicap links.

  • Jonas Club Software, The Sheet: lotteries, a weather delay tool, shotguns, crossovers, split tees, pace of play, bag and cart tracking, and Golf Genius.[13]
  • Cobalt: multi-course tee sheet, weighted lottery, digital starter sheet, USGA GHIN handicaps, Tag Marshal and Golf Genius.[30][29]
  • Northstar: web tee sheet with app booking, booking rules, flexible pricing and reservation lotteries.[1]
  • Clubspot: custom schedules, several courses, simulators and Golf Genius sign-on.[43]
  • Golf course systems: Club Caddie for semi-private clubs, foreUP for public courses, Golfmanager in Europe and the UK, and Eagle Club Systems in the US and Canada.[63][66][70][73]
  • Benvo: a tee sheet and standing times lottery on the member record, beside courts and classes; no handicap or tournament integration is listed.[98][104]

What are the best POS systems for country clubs?

In a club, the till matters less than where the charge lands. The best club POS charges to the member account, applies member rules and minimums, and reaches the kitchen. Most suites build their own.

  • Northstar: F&B POS with kitchen display routing and online ordering, plus a retail POS.[1]
  • Jonas Club Software: Mobile POS with offline mode, kitchen display and a kiosk; Stripe is named for card payments.[10]
  • Clubessential: Mobile POS and a mobile ordering app for food and beverage across the property.[22]
  • Cobalt: F&B and retail POS, kitchen display and mobile ordering, with processing through Elavon.[35][31]
  • Clubspot: POS for F&B, retail and the pro shop, with a golf shop POS linked to the tee sheet.[40][43]
  • Peoplevine: no till of its own; it connects to POS systems such as Toast and MICROS.[53]
  • Benvo: a POS app on the club's own iPads and phones that applies member rules and minimum spend, charges to member or corporate accounts and runs a kitchen display and an offline mode. Terminals run through KPay, Adyen or Stripe, and a club keeping its till sends sales in through POS Connect.[100][101]

What members say about club apps

Store ratings are one of the few public signals of what members think, and none of the top pages for this search reports them. These are the US App Store averages we read on 4 November 2026.[17][24][9][38][47][62][68]

CobaltENGAGECobalt5.03
Per-club appsClubspotNot meaningful0 to 2 each
CourtReserve (player app)CourtReserve2.9362
foreUP Golf Club (golfer app)foreUP2.277

Read these with care. Cobalt, Clubspot and Peoplevine publish apps under each club's name, so a vendor's generic app may carry only a small share of its members' views.[39][47][57] A score from 3 or 19 ratings is not a verdict.

We have no Benvo rating to report: Benvo publishes the members app under each club's own name for iOS and Android, and it also installs from the browser, with Wallet cards, bookings and statements members pay by card.[95] See our guide to the white label membership app.

How to choose club management software

Most private club software is sold through a demo, so prepare before the first call. Start from the department that loses the most time today. Write down the five things that must work on day one, then book demos only with vendors that can show all five on a real member record.

Questions to ask in every club software demo

9 items
  • Can we export every member, booking and transaction, in a standard file, at any time?Your data outlives the contract.
  • Who processes our card payments, at what rate, and can we use our own processor? Some suites only take payments through their own service.[49]
  • How long is the contract, how does it renew, and what does leaving cost?Multi-year terms and automatic renewal are common.[49][87]
  • How long does implementation take, and what is charged for it?Setup fees range from none to US$7,200 or more.[42][54]
  • Is the member app a store app under our name, the vendor's app, or a web app?It decides who owns the listing.
  • Does the system keep our general ledger, or post to the accountant's system?
  • What are the support hours and response targets for a critical issue?Northstar, for example, publishes a 1 hour target.[3]
  • Which currencies, tax rules and time zones are supported?
  • What do the AI features do with member data, and who approves what they send?

Red flags and common mistakes

  • A quote with no written rate for card payments, or no sample export file before you sign.
  • An automatic renewal clause with a long notice period.
  • A demo that shows slides instead of a member record.
  • Choosing for golf when most member spend happens in the dining room, or the other way round.
  • Leaving the finance team out of the demos, or planning go-live for renewal season.
  • Counting the subscription and forgetting processing fees, hardware and setup.

Switching club management software

A switch is mostly a data project. Agree early what moves, what stays in an archive and who checks the counts. Northstar, for example, says it migrates member profiles, categories, balances, tee time history and POS items, and offers a parallel run.[3]

  1. Day 1

    Kickoff

One call with your switch lead: the tools you run, the dates that matter and who signs off.

  2. Days 2 to 3

    Export

We request the exports from your current providers with you. Nothing for your team to format.

From your current system: Northstar, Jonas Club and Clubessential exports open with ready-made column presets in Benvo's importer, which reads the export files.[93]

  3. Days 4 to 6

    Imports

Guests, members, bookings history, menus and bottles imported, duplicates matched, every count checked with you.

From your current system: CSV or XLSX files of up to 10,000 rows each for guests, members, past bookings, menus, products and bottles, with duplicates matched. Conversation and invoice history do not move.[93]

  4. Days 7 to 8

    Channels

Your WhatsApp number, email domain, booking links and POS connected to the new system.

  5. Days 9 to 10

    Staff and training

Everyone signs in with two-factor, and each team rehearses a real service with their lead.

  6. Days 11 to 13

    Parallel run

Benvo runs beside your old system on real service. Anything you flag is fixed before go live.

From your current system: Run both systems for a few days of real service before the old one is switched off.[93]

  7. Day 14

    Go live

The old system is switched off, members are invited to the app in one click and your lead stays on.

Benvo's 14 day switch plan is a guided template with an owner for each step. There is no setup fee, each module has a 14 day free trial by default, and a club leaving another contract early can be granted switch credit worth up to 3 months of that contract, on a 12-month term and repaid if the plan ends early.[93]

Club management software: questions answered

What is the best club management software?

It depends on the club. For golf-first clubs that want accounting and payroll in one system, Jonas Club Software and Cobalt; for yacht and racquet clubs that want published fees, Clubspot; for racquet clubs, CourtReserve; for small volunteer clubs, membermojo or Wild Apricot; for members clubs led by dining, events and rooms, Benvo is one option to compare.[14][28][42][61][81][74][94]

What are some popular club management apps?

The main suites each sell a member app: ClubHouse Online from Jonas Club Software, ClubNow from Northstar, Clubessential's Next Gen Mobile App, redesigned in June 2026, Cobalt Engage and Clubspot's branded apps. Benvo publishes its members app under the club's name for iOS and Android, and it also installs from the browser.[16][6][18][36][40][95]

How much does ClubRight cost?

As of November 2026, ClubRight publishes Core at GBP 99 a month and Complete at GBP 179 a month, both plus VAT, with no setup fee and 30 days' notice. Direct Debit costs 45p per collection on Core and 40p on Complete, and card payments 1.85% + 20p.[88]

Who owns Jonas Club Software?

Constellation Software Inc. has owned Jonas Club Software since December 2003, when it acquired Gary Jonas Computing, founded in September 1990. The company is based in Markham, Ontario. Club Caddie, a golf course system, says Jonas Software, part of Constellation, has owned it since 2020.[11][12][64]

Who owns Clubessential?

Clubessential Holdings, backed by Battery Ventures and Silver Lake, agreed in September 2025 to merge with Xplor Technologies, majority owned by Advent International. The merger closed in March 2026; the company trades as Xplor, led by former Clubessential Holdings CEO Randy Eckels, with foreUP in the same golf division.[19][20][69]

Does club management software include accounting?

The full suites do: Northstar, Cobalt and Clubspot describe a general ledger, payables and receivables, and Club Automation links to QuickBooks Online. Benvo keeps no ledger inside; it syncs sales, hotel and supplier invoice journals to Xero, QuickBooks Online or NetSuite, so the ledger stays in your accounting system.[8][28][44][49][101]

Can members pay their bill in the club app?

In most suites, yes: ClubHouse Online, Cobalt Engage and Northstar's app let members pay balances and dues by card or bank debit. In Benvo, members pay statements by card in the members app, invoices carry a pay link, and renewals can charge the card on file, through KPay, Adyen or Stripe.[16][31][3][101]

Do I need a separate website for my club?

Usually not with a full suite: Northstar, Jonas Club Software, Clubessential, Cobalt and Clubspot include club websites. Benvo has a website builder too, with the site on the club's own domain and the booking page, booking widget and event sign-ups built in, or the widget can go on your current site.[7][10][18][36][40][106]

How long does it take to switch club management software?

It depends on the data and the vendor. Northstar lists discovery, data cleansing, configuration, migration, training and go-live support without stating a duration. Benvo uses a 14 day switch plan with an owner for each step and a parallel run; a club with years of history should allow time for checking.[3][93]

How we compared

We read each vendor's own pages, app store listings and press releases on 4 November 2026 and recorded only what they state, with a source beside every fact. Where a vendor does not state something, we say 'Not stated'. Review platforms blocked our requests, so there are no review scores. Benvo facts come from Benvo's own feature register.
