Privacy notice
Last updated Thu 22 Oct 2026
This notice explains how Coviola Group LLC, the company that provides Benvo ("Benvo", "we", "us"), collects, uses, discloses and protects personal data in line with the data protection laws that apply to us. It covers this website, demo and contact requests, and our relationship with the venues that use our platform.
#Our two roles
When you visit this website or contact us, we decide how your personal data is used, and we are responsible for it.
When a venue uses the Benvo platform to manage its members, guests and staff, the venue decides how that data is used. We process it on the venue's behalf and on its instructions, as its service provider or processor. Questions about a venue's use of your data should go to that venue first; we will help them answer.
#What we collect
We collect only what we need for the purposes below.
- Contact details you give us, such as your name, venue, role, email address and phone number, when you book a demo, request our security pack or write to us.
- Details of your request, such as your venue type, preferred call time and message.
- Technical data when you use the website, such as your IP address, browser type, pages visited and the time of your visit, collected through strictly necessary cookies and server logs.
- Records of our correspondence with you.
#How we use it
We use personal data with your consent, or where the law otherwise allows, for these purposes:
- To respond to your request, arrange and hold a demo, and send the information you asked for.
- To prepare proposals and, if your venue becomes a customer, to set up and support your account.
- To keep the website secure, including detecting and preventing spam and abuse.
- To improve the website and our services, using aggregated information where possible.
- To send you news about Benvo, only if you have agreed. You can withdraw at any time.
#Who we share it with
We do not sell personal data. We share it only with service providers who help us run our business, such as hosting, email delivery and customer support providers, under contracts that require them to protect it and use it only for our purposes, and where the law requires us to.
#International transfers
Some of our service providers may store or process data in countries other than the one where it was collected. When that happens, we take appropriate steps, such as contractual safeguards, so that the data keeps a standard of protection comparable to the law where it was collected.
#How we protect it
We use reasonable security arrangements, including encryption in transit and at rest, access controls, two-factor sign-in for our team, audit logs and regular backups. No method of transmission over the internet is completely secure, but we work to protect your data against unauthorised access, collection, use, disclosure, copying, modification or disposal.
#How long we keep it
We keep demo and contact requests for as long as needed to follow up, unless your venue becomes a customer. We then delete or anonymise it, unless we must keep it longer for legal or business reasons.
#Your choices and rights
You may ask to access the personal data we hold about you, ask us to correct it, or withdraw your consent to our use of it. Depending on where you live, you may also ask us to delete it or to receive a copy in a portable format. We will respond as soon as reasonably possible and within the time the applicable law requires. Withdrawing consent may mean we can no longer provide some services.
#Data breaches
If a data breach is likely to result in significant harm, or is of a significant scale, we will notify the relevant authorities and affected individuals as the applicable law requires.
#Contact our Data Protection Officer
Write to our Data Protection Officer at hello@benvo.io, or to Coviola Group LLC at 30 Sheridan Road, Wyoming, USA. If you are not satisfied with our response, you may contact the data protection authority where you live.
